Ten Tips for E-mail Efficiency
1
SET UP THE FILTERS to sort incoming mail, especially if you've subscribed to regular mailings.
2
USE YOUR ADDRESS BOOK for all its worth. Not only will you save time typing in addresses, but you'll avoid mistakes.
3
TAKE ADVANTAGE of your e-mail's software spell-checker to correct mistakes.
4
IF YOU CHOOSE to include the sender's message when you reply, edit it down so that only the sections you're referring to remain.
5
USE A VIRUS PROTECTION program to scan unknown attachments before you open them, especially self-extracting attachments with an .exe extension.
6
USE FOLDERS to keep your messages organized.
7
IF YOUR MESSAGE is confidential or extremely time-sensitive, choose appropriate security measures or consider another method of sending it.
8
PERIODICALLY DELETE OLD MESSAGES, especially if you've chosen to keep copies of sent messages.
9
WATCH THE SIZE OF YOUR ATTACHMENTS you're sending. That sound clip of the theme to Get Smart may be the funniest thing you've ever heard, but others might not appreciate having to wait for their mail as it downloads.
10
READ AND WRITE MESSAGES OFFLINE. Not only will you save connection time (and money), you'll also feel less rushed and can enjoy reading your email.
